Configure a Campaign in Keap
Keap allows you to automate some things through their Campaign feature. This enables Leads to automatically be tagged when they come into Keap, rather than manually adding tags yourself.
For example, like many people, Dunder Mifflin Paper Company collects new leads in Keap through a form. The easiest way to ensure these new leads make it to Callingly is to add a tag to form submissions automatically.
A few things need to happen here, so we've broken it down into bite-sized pieces to make it a bit easier.
Create a campaign
To create a Campaign from inside of your Keap account:
- 1.
- Click the More dropdown menu in the left corner of the screen.
- 2.
- Select Campaign Builder under the Marketing header.
- 3.
- Click the Create your own button found in the center of the screen.
- 4.
- Title your Campaign with something descriptive. We're calling ours Form submission tags leads with Callingly - Start Call Tag.
- 5.
- Click Save.
- 6.
- Drag in both the Web Form submitted and Sequence tools. We will want leads to submit a form and enter a sequence. The sequence will ultimately add a tag to their lead information triggering Callingly.
- 7.
- Drag the green arrow from Web Form submitted to Sequence. This connects the web form submission to the sequence.
Now we'll need to set up both the form and the sequence.
Set up your web form
- 1.
- Click the Web Form submitted tool. This brings up a sub-menu.
- 2.
-
Click View and Edit. You'll either need to create a new web form or copy one from an existing campaign. We won't walk you through that step-by-step because it varies for each account.
Remember: Callingly needs a phone number to work, so add a phone number field! - 3.
- Slide the Draft toggl e in the top right corner of the screen to the Ready position. You need to remember to do this to be able to use your form.
- 4.
- Click the back arrow to go back to your Campaign. The Web Form submitted tool should now be green, indicating it is ready and functioning.
Lastly, we'll set up the sequence.
Configure your sequence
- 1.
- Press the Sequence tool. This brings up a sub-menu.
- 2.
- Click View and Edit. This will navigate you to the sequence builder.
- 3.
- Drag the Apply/Remove Tag process into the sequence.
- 4.
- Click the newly added Apply/Remove Tag. This brings up a sub-menu.
- 5.
- Click View and Edit. This will create a pop-up to configure the tag.
- 6.
- Select the Apply radio dial and add the needed tag. In our case Callingly - Start Call.
- 7.
- Click Save.
- 8.
- Slide the Draft toggle in the top right corner of the screen to the Ready position. If you forget to do this, your sequence won't work.
- 9.
- Click the back arrow to be taken back to your Campaign.
Publish your Campaign
You can finally publish your Campaign!
- 1.
- Ensure your form and sequence are both green, indicating they're ready!
- 2.
- Double-check that they are connected with a gray arrow, with the form pointing to the sequence.
- 3.
- Click Publish in the top right corner of the screen. Keap will check that everything is working well.
- 4.
- Click Publish on the new panel that slides open.
Of course, you might use Campaigns to automatically apply your tags in a variety of ways. This is just an example. Please check with Keap if you need help setting up other automated Campaigns.
Next Steps
- Test the integration and your Campaign. Add your start call tag to a test lead in your Keap account. The lead information will be passed through to Callingly, and the outbound call flow will begin within a few minutes. It's also a good idea to fill out the form attached to your Campaign to be sure your Campaign has been set up correctly!
- Set the call schedule. Once you've added your team, you'll want to set the schedule for when they can receive calls. This way, nobody will receive a call outside of work hours.
Common Questions
How do I send calls to different teams?
You can do this by setting up a second instance of the Keap integration using the same steps outlined above. You can have as many instances as you like: simply use a unique Tag and a unique Team for each instance.
How can I sync the lead owner between Keap and Callingly?
Unfortunately, due to limitations with Keap, our integration does not have owner sync. That means it's not possible to automatically sync the lead owner between the two.
